Ai Fun 4 Us is a 501(c)(3) nonprofit organization based in New York, NY, United States. We are committed to protecting your privacy and handling your personal data with care. This policy explains what data we collect, why we collect it, and what rights you have over it.

1. What data we collect and why

Donations

When you make a donation, your payment is processed by Stripe. We never see or store your card details — those go directly to Stripe. If you provide your email address on the Stripe payment screen, Stripe shares it with us so we can send you a personal thank-you message. That email address is used only for that purpose and is not added to any marketing list without your separate consent.

Legal basis: Legitimate interests — fulfilling our obligation to acknowledge your donation and provide your EIN receipt for tax purposes.

Language subscription offer

Following a donation, we send a thank-you email that includes an optional invitation to subscribe to a free 6-month daily audio language practice by email (News & Dialog). Activating this offer requires you to click a personal link and choose a language — this is an explicit opt-in. We store only your email address for the purpose of delivering the daily emails.

Legal basis: Consent — you actively choose to activate the subscription.

Retention: Your email address is deleted immediately and completely when you unsubscribe. No archive is kept.

Contact form

When you submit our contact form, your name, email address, and message are forwarded to our team by email. This information is not stored in any database — it exists only in our email inbox.

Legal basis: Legitimate interests — responding to your inquiry.

Website analytics

We use Microsoft Application Insights to understand how our website and backend functions perform. This may include page views, error rates, and response times. We use this data solely for maintaining and improving the site — not for advertising or profiling individuals.

Legal basis: Legitimate interests — ensuring the site works correctly for all visitors.

Retention: Application Insights logs are automatically deleted after 30 days.

2. One-time verification codes

When processing a donation or activating a language subscription, we generate a short-lived 6-digit access code that is stored temporarily in an Azure database. This code expires automatically after 3 days (donation thank-you) or 15 minutes (subscription verification), and is deleted immediately upon use. It is single-use and cannot be reused.

3. Who has access to your data (data processors)

We use the following third-party services. Each acts as a data processor on our behalf under a Data Processing Agreement.

We do not sell, rent, or share your personal data with any other party.

4. Your rights

If you are located in the European Union or United Kingdom, you have the following rights under the GDPR (and UK GDPR):

  • Right to access — you can ask what data we hold about you.
  • Right to erasure — you can ask us to delete your data. For language subscription data, unsubscribing deletes all your data immediately. For donation records held by Stripe, their retention policies apply (typically required by law for financial records).
  • Right to rectification — you can ask us to correct inaccurate data.
  • Right to object — you can object to processing based on legitimate interests.
  • Right to data portability — you can ask for a copy of your data in a machine-readable format.
  • Right to withdraw consent — for any processing based on consent (language subscription), you can withdraw at any time by unsubscribing. Withdrawal does not affect the lawfulness of processing before withdrawal.

5. Complaints

If you believe we have not handled your data correctly, you have the right to lodge a complaint with your national data protection authority. In the EU, you can find your local authority at edpb.europa.eu. In the United Kingdom, contact the ICO (ico.org.uk).

If we make material changes to this policy, we will update the "Last updated" date at the top of this page. We encourage you to review it periodically.
